Set up property viewing bookings

Give buyers a simple way to choose a viewing appointment for a specific property. · Updated 18/09/2026

The Estate Agents business type adds Properties to your admin area. Each listing can have its own address, photos, status, viewing notes and assigned negotiators.

Add a property

  • Open Properties in the tenant admin.
  • Add the listing details, including its address and optional listing URL — or use Import CSV to bring in a whole export from your agency software (references, addresses, bedrooms, tenure, status and price are mapped automatically, and re-importing updates rather than duplicates).
  • Choose which negotiators can host viewings and set a viewing duration. Listings with no named negotiators are open to anyone who offers viewings.
  • Keep Viewings open enabled while buyers can book. Set the property to sold, let, under offer or withdrawn when appropriate.

Watch your own website for listing changes

Under Properties > Listing monitor, add your listings page or sitemap URL. We check it for you and keep each property in step with your site:

  • New listings are created automatically, with photos, prices, beds/baths and a default negotiator from the matching team (sales, lettings, commercial).
  • When a listing goes under offer, sold, let or disappears, viewings close on it automatically.
  • When a listing comes back on the market, viewings reopen automatically.
  • Price changes are picked up and reported in the scan results as a reduction or increase.

Status and price always follow your website, even if you have turned off overwriting your own descriptions and photos.

If you tell us your listings page when you sign up, we run this first scan for you as soon as setup finishes.

Your agency branding on viewings

Under Properties > Agency details on viewings, set your agency name, logo, office phone, email and address. Buyers see these — along with your office hours from Settings — while booking and on their confirmation, so a viewing always looks like it comes from your agency. Only owners and admins can change these details.

Share a property booking link

Open Website > Widgets & embeds, choose the property and copy the generated link. Add it to the property page on your own website, listing portal, email or social post. The booking flow shows the property name and address, then offers only the services and negotiator slots available for your agency.

One snippet for your whole site (auto-detect)

If your website has a page per property, use the Auto-detect property viewing widget instead. Paste a single snippet into your listing template and the widget works out which property the visitor is viewing — from the page's metadata or its URL — and books that exact property. Listings it doesn't recognise can be created automatically (toggle under Properties). Use the Preview on your site tab to paste a real listing URL and see exactly what will be detected before you go live.

The property is stored on the resulting appointment, so your team can see which listing the buyer is visiting. Closing viewings prevents new bookings without changing your existing diary. Your admin home includes an estate agent dashboard with bookable listings, viewings per property and which sites send you viewings.
