Terms of Service

These terms govern your use of the BookAppointment platform (the "Service") provided by BookAppointment Ltd, a company registered in England and Wales. By creating an account or using the Service you agree to these terms.
1. Definitions
- Service — the BookAppointment SaaS platform, website, admin apps and APIs.
- Account holder / Tenant — the business that subscribes to a plan.
- End customer — a person booking an appointment through a Tenant's site.
2. Your account
- You must be 18+ and legally able to enter a contract.
- You're responsible for keeping login credentials secure and for all activity under your account.
- Notify us immediately at security@bookappointment.co.uk if you suspect unauthorised access.
3. Subscription plans, trials and billing
- Plans, features and prices are shown on our pricing page.
- Free trials are for a fixed period and require no card. At trial end you can subscribe or your account becomes read-only.
- Paid plans renew automatically at the end of each billing period (monthly or annual).
- Fees are charged in advance and are non-refundable except where required by law.
- We may change prices with 30 days' notice; increases take effect at your next renewal.
- Upgrades take effect immediately (prorated). Downgrades take effect at the end of the current cycle.
4. Payments via Stripe Connect
If you enable payments to collect deposits or full booking payments from your end customers, funds are processed by Stripe under Stripe's Connected Account Agreement. BookAppointment charges a platform fee on each transaction (rate depends on your plan). Stripe's processing fees are separate and taken by Stripe.
5. Acceptable use
You agree not to:
- Use the Service for anything unlawful, misleading or fraudulent.
- Try to break, reverse-engineer or gain unauthorised access to the Service.
- Send spam, unsolicited marketing or misuse the SMS / email features.
- Upload content you don't own or have permission to use.
- Use the Service to store special-category personal data (e.g. health data) unless explicitly permitted in writing.
6. Your data
You retain ownership of all data you upload. You grant us the limited licence needed to host, process and back it up in order to provide the Service. Our data protection practices are described in our Privacy Policy. Our role and responsibilities as processor for tenant customer data are set out in our Data Processing Addendum — available on request from legal@bookappointment.co.uk.
7. Availability and support
- We aim for 99.9% monthly uptime, excluding scheduled maintenance which we announce in advance.
- Support is provided via the support portal. Standard response time is one business day; Business plan customers receive priority support.
- We may release changes and improvements to the Service at any time.
8. Suspension and termination
- You may cancel any time from App › Billing. Your account remains active until the end of the paid period.
- We may suspend or terminate accounts for breach of these terms, non-payment, or actions that risk the security of the Service.
- After cancellation, your data is retained for 30 days then permanently deleted (except records we're required to keep for legal reasons).
9. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that can't be limited under English law. Subject to that, our total liability for any claim arising from the Service is capped at the fees you paid to us in the 12 months before the event giving rise to the claim. We are not liable for indirect or consequential loss (loss of profit, goodwill, data, or business opportunity).
10. Beta and preview features
Features marked "beta" or "preview" are provided as-is and may change or be withdrawn. Do not rely on them for critical operations.
11. Changes to these terms
We may update these terms. Material changes will be notified by email or in-app banner at least 30 days before they take effect. Continued use after that date means you accept the updated terms.
12. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, without prejudice to your consumer rights.
