Using the smart waitlist
Let customers wait for a fully-booked day and fill cancellations automatically. · Updated 06/09/2026
When a day has no availability, customers see a Join the waitlist panel on the time step of your booking page. They choose a preferred window (any time, morning, afternoon or evening), how many people are coming and add any notes.
What happens when someone cancels
- The moment a booking is cancelled — by the customer, or by you from the calendar or bookings list — we look at the waitlist for that day.
- Anyone whose preferred window covers the freed time (and who asked for that team member, or any team member) is notified.
- They get a branded email, plus an SMS if they ticked "text me as well". The message links straight into your booking flow with the service, team member and date pre-filled.
- Slots are first come, first served — the first person to book gets it.
Managing the waitlist
- Open Waitlist in the admin area to see everyone waiting, with their contact details, preferred window and party size.
- Offer a slot lets you pick an exact date and time and notify one customer only — handy for a phone cancellation.
- Mark booked or Remove keeps the list tidy.
Editing the messages
The waitlist email and SMS wording live under Notifications > Templates, alongside your confirmations and reminders.
