Blocking out time, holidays and repeat blocks
Block a gap, a whole day or a run of days, and see time off shaded out in the diary. · Updated 15/09/2026
Block a single gap
Tap or click any empty time in the diary. A small panel appears for that time with two choices:
- Add booking — the booking form opens with the day, time and person already filled in.
- Block time out — choose how long (in the same minute steps your diary uses), add a reason such as "Lunch", and save.
Blocked time can't be booked online or by your team.
Repeat a block
In the block panel, turn on Repeat block:
- Consecutive days — how many days in a row, up to 14.
- Repeat for — how many extra weeks, up to 25.
Before you save, the dialog lists the exact dates that will be blocked, so there are no surprises.
Block a whole day
On the day view, open the small menu under a person's name and choose Block day / slots. You can block the whole day or just a period of it, with a reason.
Holidays and time off
Time off booked under Team → Time off shades out that person's whole day in the diary, with a plane and the reason on it. Nothing can be booked into it.
Turn on Hide time off at the top of the calendar and anyone who's off for the whole day disappears from the day view, so a holiday week isn't full of empty columns.
Other quick controls
The same menu under each name also gives you Collapse column, Next available appointment, Change hours (for that day only) and Add comment (a note on the day your team can see).
