Automated emails: set one up once and leave it running
Send a nudge after every visit, a welcome after a first visit, a birthday treat or a win-back — without touching it again. · Updated 12/09/2026
Automated emails go out on their own. You choose what sets one off, how long to wait and what it says, then switch it on.
Setting one up
1. Go to Marketing → Email marketing → Automated emails. 2. Pick a ready-made one, or press New automation. 3. Choose what sets it off: - A set time after every visit — sends once for each completed appointment - After a first visit — sends once, a few days after somebody's very first appointment - Before a birthday — sends once a year, only to customers who gave you a date of birth - When a customer hasn't been in for a while — sends when their last visit was a chosen number of days ago 4. Set the number of days and the time of day. 5. Write the email — headings, text, a photo and a booking button, with a live preview beside it. Use {{first_name}} to greet people by name. 6. Press Save, send yourself a test, then switch it On.
Who is included
Only customers who agreed to marketing. You can narrow it further — for example only customers who have been in once, only a certain service or team member, or only VIPs.
The panel on the right shows how many customers would get it today, and how many already had it, before you switch anything on.
Nobody gets it twice
Every send is recorded before it goes out, so the same person is never emailed twice for the same appointment, birthday or lapse. A win-back only sends again if they come back and lapse again.
What it costs
Automated emails come out of the marketing emails included with your plan each month, then out of your email credits. Top up under Email marketing if you run low.
If you run out mid-way, the automation switches itself off and shows the reason at the top of the page. Top up and switch it back on — nobody gets a duplicate.
Switching one off
Use the toggle on the list. Switching off keeps everything as it is, so you can switch it back on later. Delete removes the automation and its history.
Good to know
- Appointment confirmations and reminders are separate and always go out.
- Opt-outs are respected everywhere — someone who opts out of one marketing email is out of all of them.
- Everything is locked to your own business.
