GDPR: exporting or deleting customer data

Export a customer's data or fully delete a customer while keeping anonymised booking history for your own records. · Updated 30/07/2026

As a UK business, you're the data controller for the customer information you hold, and BookAppointment gives you the tools to respond to access and erasure requests promptly.

Exporting customer data

  • Go to App › Customers, and use Export to download a CSV of your customer list (all customers, or just those opted in to marketing).
  • For a single customer's full record in response to a subject access request, open their profile — booking history, contact details, pet profiles and notes are all visible and can be copied or screenshotted for a formal export.

Deleting a customer

  • Open the customer in App › Customers and click Delete.
  • Their personal profile is removed, but booking history is kept (unlinked from any personal identifiers) so your own financial and appointment records stay intact — this balances the right to erasure with your legal obligation to keep business records.

Account-level export and deletion

  • Tenant owners can request a full account data export or a full account deletion from App › Settings › Account or by submitting a support ticket — we'll confirm scope and timing with you directly given the sensitivity of a full deletion.

Retention after cancellation

If you cancel your subscription, your data is retained for 30 days in case you want to reactivate, then permanently deleted — see "Change or cancel your plan".
