Almost every business we speak to keeps something outside their booking system. A personal Google Calendar with the school run in it. An Outlook diary shared with the rest of the team. A profile on another booking site you haven't quite switched off yet.

That's where double bookings come from — and from today you can stop them.

How it works

Go to Calendar → Calendar sync, paste the private calendar link from the other calendar, and we do the rest:

  • We read that calendar every 15 minutes and note every busy event in it
  • Those busy times are treated exactly like time off here, so nobody can book over them
  • Attach a calendar to one team member, or to the whole business if it should block everyone
  • Choose whether all-day events count as busy, and whether we ignore anything marked "free"
  • Press Refresh at any time if you've just added something and want it blocked straight away

Where to find your calendar link

  • Google Calendar — Settings, pick the calendar, then "Secret address in iCal format"
  • Outlook / Microsoft 365 — Settings, Calendar, Shared calendars, Publish, then copy the ICS link
  • Apple Calendar / iCloud — share the calendar publicly and copy the webcal link
  • Other booking sites — look for "iCal export", "calendar feed" or ".ics"

Keep that link private: anyone who has it can see that calendar's events.

It's read-only, and it's yours alone

We only read the other calendar — we never write to it, and we don't need your password for it. Everything we read is stored against your business only, and no other business on BookAppointment can see it.

Already sending your BookAppointment diary the other way, into your phone's calendar? That still works exactly as before — this is the missing half of it.
