How Station Road Barbers filled the chair — and stopped chasing texts.

The problem

Station Road Barbers is the kind of shop where people book their next cut on the way out. Everything ran on a paper diary and a shared WhatsApp — which worked, until Saturday mornings turned into a barbershop version of air traffic control. Missed messages became missed appointments. Repeat customers who tried to book online at 10pm on a Tuesday had nowhere to go.

What we changed

• Full booking website at stationroadbarbers.bookappointment.co.uk with the shop's branding, service menu, staff bios and gallery.
• Per-barber calendars so customers can pick who cuts their hair, with buffers and lead-time rules the team actually asked for.
• Automatic confirmations and reminders — email out the door, more reminders on the way. The WhatsApp firehose is now a nice-to-have, not the source of truth.
• 1,400+ customer records imported from their previous system, matched by name and phone, with full booking history preserved.

What happened next

No-shows dropped from around 8% to 5% inside the first quarter — largely thanks to reminders and the visible cost of missing a slot. Quieter mid-week windows started filling with returning customers rebooking straight from their account. And every staff member has their own calendar view for the week ahead, so nobody has to squint at a Sharpie'd column at 7am.
